Top Considerations for Booking a Meeting Space in Chicago

  • Clarify the meeting purpose. Define your goals upfront (strategy session, decision-making, team-building, or pitching) to choose the right venue style.
  • Stick to an agenda. Organizing your topics and timings ahead helps keep the meeting focused and productive. Share it with attendees in advance.
  • Choose the right setup. For hybrid meetings, ensure the venue includes webcams, quality microphones, and high-speed WiFi.
  • Prioritize comfort. Know your guest count and ensure seating, lighting, and airflow all support focus. Bonus: venues with coffee or catering options are always a win.
  • Watch your budget. Many venues like My Corner Office offer low-cost hourly rates under $50, making them ideal for quick meetings or startups.
  • Go green when you can. Book near public transport, digitize your handouts, and avoid single-use supplies to keep your meeting sustainable.

How to Organize a Meeting on a Budget in Chicago

Hosting a productive meeting doesn’t mean overspending. Here’s how to stretch your budget:

  • Set a hard cap. Know your max spend per hour or per day to filter out venues quickly.
  • Compare hourly vs. daily rates. For example, Hub116 offers both, and day rates often save more for long sessions.
  • Avoid surprise fees. Always ask if equipment like whiteboards, WiFi, or monitors is included.
  • Book off-peak times. Midweek mornings and later evenings can be cheaper, especially in premium areas like River North or The Loop.
Use search filters. Tagvenue lets you sort by price, location, size, and amenities to find your ideal match fast.

Booked Conference Room 1 at My Corner Office
4.5
The space was lovely, well lit and cozy- just a little bit tight for 3 people, but that wasn't a big issue. The location is ideal and the office was well stocked. The only minor issue was accessing the location because you have to download an app to get in if no one is on site, but that is probably only an issues if you don't like downloading apps. Otherwise, I'd highly recommend the location for a small group.

Booked The Studio at IDEA Studio Event Space

The IDEA Studio was an absolutely perfect venue! It is beautifully decorated, set-up for us exactly as requested, technologically capable for everything we needed, and beyond that, Alison and Morgan were like event angels! Every time something threatened to go wrong due to our outside caterers' failings, they were able to give us a solution immediately. They were onsite and ready to move any time we had any sort of request or question. I cannot possibly recommend this venue enough!! Do yourself a favor and reserve this space to ensure a successful event that you and your guests will remember!

Booked Conference Rooms A+B at TeamWorking by TechNexus
5.0
We had a great meeting at this venue. The setup was great, the tech was easy to use, and the staff were very helpful. I’d book this venue again next time we’re in Chicago. Mykayla was really responsive to booking inquiries and helpful with onsite needs. We received a document upon booking with recommended vendors, building access, wifi access etc. All of the small details really helped us feel more at ease booking at a space we weren’t familiar with.
