Cheap Event Venues Rental Guide

Toronto, a sprawling metropolis known for its multicultural ambiance and vibrant foodie scene, offers an abundance of event venues to explore. Whether it's a wedding, birthday bash, or corporate gathering, hunting for the perfect spot can be overwhelming. But fret not! We've got you covered. Here's a rundown of the city's most common venue types available for hire to help you find the right venue at the perfect price point.

  • Birthday Party Venues run the gamut from small restaurants that can accommodate 20 people to large banquet halls for events with up to 200 guests or more. Some vendors will provide everything needed for an event, while others require that you bring your own decorations and party supplies. Most birthday party venues offer catering services, and some also allow you to cater your own event. Before booking, be sure to ask about any restrictions on decorations, whether outside food is allowed, and if alcoholic beverages can be served. If you are having a birthday party for a child, ask whether the venue has any activities for kids and if there are any restrictions on noise.
  • Wedding venues in Toronto offer everything from small intimate ceremonies to extravagant affairs with hundreds of guests. When considering wedding venue hire here, it's beneficial to inquire about additional amenities such as on-site accommodation for guests, preferred vendor lists, and any restrictions or regulations regarding decorations and entertainment.
  • Party rooms are available to accommodate groups of any size, whether it's a small birthday party for 20 or large company event for 800 guests. These spaces come equipped with tables, chairs and other furniture so that you don’t have to worry about setting up everything yourself.
  • Corporate event venues can accommodate large groups for gatherings such as conventions and seminars. They have the equipment needed for presentations, from projectors to advanced sound systems. They also often have the infrastructure needed to accommodate large groups such as ample parking facilities, high-speed Internet access, microphones, AV equipment and other amenities. are ideal for small gatherings such as board meetings or workshops.

Tips to help you find a cost-effective place to hold your event in Toronto:

  • Seek out unique venues! The first thing you should do is get creative, and think of places that might not immediately come to mind when you're looking for an event venue. For example, have you considered renting out unusual event venues such as art galleries or repurposed warehouse venues? These spaces can be a great way to create an event that feels unique.
  • Check out local businesses. Consider checking out local businesses for affordable event spaces. For example, if you're planning a small outdoor event, consider renting out a patio from a nearby restaurant. Alternatively, if you're looking for a more formal event space, consider renting space from a school; many have underused rooms that could be perfect for smaller events.
  • Consider renting out space in an office building instead of booking a banquet hall. If you're hosting a meeting or a seminar, this might be the perfect option for you! These spaces include areas such as atriums and large boardrooms. Just make sure that the venue provides access to the amenities such as restrooms and kitchens.
  • Consider holding your event during the off-season or from Monday to Thursday. Holding an event during the off-season or on weekdays will help you get a better price on your venue rental, catering, and other amenities.
  • If you're planning a large event, consider renting out only part of the facility. This will help keep your costs down while still giving your guests plenty of space to enjoy themselves. For example, if you're planning a company party, think about renting out just one room in the restaurant or hire an event hall in a museum instead of the entire venue.
  • If you have a small group, consider renting an empty studio instead of booking an entire venue. You can rent a studio for as little as $50 per hour and prepare for your event by bringing in hired tables, chairs and other event accessories. This will help keep your costs down.
  • Search for venues outside of downtown Toronto. Suburban areas tend to be less expensive than downtown locations which means that your funds can go towards other items on your budget.

DIY Event Planning: Decorate and Transform Inexpensive Spaces into Stunning Venues

Planning an event on a tight budget presents a thrilling challenge, but it doesn't mean you have to sacrifice style or ambiance. By harnessing your creativity and employing some savvy do-it-yourself (DIY) techniques, you can elevate even the most affordable spaces into breathtaking venues that leave a lasting impression on your guests. Here, we'll delve into some expert tips and innovative ideas to help you craft an unforgettable event that exceeds expectations without breaking the bank:

Create a Vision Board

Before you start decorating, it's essential to have a clear vision of your event's theme and style. Create a vision board with pictures and colour palettes that reflect the atmosphere you want to create. This will serve as your guiding light throughout the DIY process.

Lighting Magic

Lighting plays a pivotal role in setting the mood for your event. Here's how to use it effectively:

  • String Lights - Hang fairy lights or string lights across the ceiling or along the walls to add a warm, enchanting glow to the space. You can find affordable string lights in various shapes and colours to match your theme.
  • Candles - Candles are a timeless choice for creating a romantic atmosphere. Consider using LED candles if an open flame isn't permitted in your venue.
  • Paper Lanterns - Chinese paper lanterns are budget-friendly and incredibly versatile. Hang them in clusters to create a whimsical effect.
  • Uplighting - If your budget allows, invest in uplighting to add drama and highlight specific areas of your venue.

DIY Decorations

Creating your own decorations is a fantastic way to add a personal touch to the event. Here are some DIY decoration ideas:

  • Paper Flowers: Craft colourful paper flowers to use as centrepieces or to adorn walls and ceilings. These are affordable, easy to make, and look stunning.
  • Mason Jar Centerpieces: Fill mason jars with flowers, fairy lights, or even sand and shells for a rustic or beachy vibe.
  • Photo Booth Backdrops: Craft a fun and personalised photo booth backdrop using props, balloons, or even a fabric curtain with a customised design.
  • Table Runners: Make your table runners from inexpensive fabric or burlap. Customise them with stencils, paint, or embroidery to match your theme.

Repurpose and Reimagine

Make the most of what you have and think outside the box:

  • Furniture: If your venue provides basic furniture, consider repurposing it with slipcovers or fresh paint if the venue allows it. Mixing and matching different styles can create a unique, eclectic look.
  • Backdrop Screens: Use room dividers, wooden pallets, or old doors as decor for your event. Decorate them with fabric, lights, or hanging greenery.
  • Thrift Store Finds: Explore thrift shops and second-hand stores for unique decor pieces. With a little creativity, you can transform old items into stylish accents.

Embrace Minimalism

Sometimes, simplicity can be the most elegant choice:

  • Neutral Colour Palette: Opt for a neutral colour scheme, such as whites, greys, and pastels, to create a clean, sophisticated look. Add pops of colour with flowers or tableware.
  • Clear Space: Don't overcrowd the party venue with decorations. Leave some open space to allow guests to move comfortably and appreciate the overall design.
  • Less is More: Focus on key decor elements, such as a grand entrance, a statement wall, or a beautiful backdrop. This will make a more significant impact than spreading decorations thinly across the entire venue

Rental Solutions

When DIY isn't an option or you need specific items, consider event rentals:

  • Tables and Chairs: Renting tables and chairs is cost-effective and convenient if your event venue is a dry-hire - a much more affordable option. You can choose from a variety of styles and sizes to suit your event.
  • Linens: Rent tablecloths, napkins, and chair cover to achieve a polished look. Rental companies offer a wide range of colours and materials.
  • Decorative Pieces: If you have a particular theme in mind, explore rental options for unique decor items like vintage furniture, chandeliers, or even specialty tableware.

Remember that DIY event planning allows you to showcase your unique style while keeping costs down. It's a labour of love that can lead to a beautifully decorated event venue in Toronto that will impress your guests without breaking the bank. So, roll up your sleeves, get creative, and let your imagination run wild as you transform your inexpensive space into a stunning event venue!

Booked UUIN Entire Venue at UUIN
The venue was great for what I was looking for! Lots of space for a dance floor, my DJs we easily able to connect and make use of the sound system, and there was a perfect spot to set up a Photo Booth area for my guests to take fun photos. There’s a big chest freezer available for use, which was good for keeping ice frozen throughout the night. There’s a kitchen with a small fridge and toaster oven, which was useful for getting our food stuff organized to set out. I had ordered a lot of food, but there is a vending machine in the space which could come in handy for anyone seeking out a quick snack. Phillip was very easy to reach and communicate with leading up to my event, and very friendly and helpful. Him and his crew also helped us clean up and the end of the night, which was a nice bonus. Definitely a good little spot off the beaten path!

Booked Tropical Themed Space at TacoTaco
Best venue I have ever booked - Amazing communication (fast, professional, clear) - booking went great - Professional, friendly and helpful staff - very welcoming and clear - Event space was INCREDIBLE! The pictures don't do it justice - Guest reactions were off the chart. Everyone was instantly in love with the space! I even changed plans mid-event, and everyone was incredibly helpful in getting things arranged and changed up. Lightning fast, and non-stop friendly. Additional positives (many of which we didnt use much of) - great sound system - theres a stage! (used that!) - lighting was great as well - tons of both standing and sitting room - there's a bar! - event space is hidden behind the restaurant (which is really cool) but has its own door, bathroom, etc... Honestly if you are hosting an event for under 100 people, this is pretty much the best space you can get. I've rented out quite a few spaces in the past while, and this has been the best in terms of the overall space, service, communication, people, layout options, and guest-reactions

This was an excellent space. It was beautiful with a great and flexible set up. The management team was very responsive and assisted us in planning a great birthday party. We brought our own catering and used the open bar services. There were two bartenders, a security guard and the venue manager all on site for the even. We had a live band and the sound and set up was excellent. We would definitely plan further parties at this venue.
