Is hourly or full-day hire better value?

For longer meetings, a day rate can offer better value. Among the 18 Glasgow rate structures checked that offer both hourly and full-day pricing, the day rate was typically equivalent to around six to seven hours of hourly hire.

There are exceptions. Meeting Room – The Townhouse at Quintessential Offices  costs £35 per hour or £280 per day, equivalent to eight hours at the hourly rate.

As a rule of thumb, check the day rate once your booking reaches around six hours, including any setup time. For shorter meetings, hourly hire is generally the more economical option.

Does the day of the week change the price?

At some venues, yes. Wizu Workspace on West Regent Street prices Mondays and Fridays lower than Tuesday to Thursday across all three of its meeting rooms – the Glenlee Suite is £18 per hour on a Monday or Friday against £36 midweek. 

Other venues use different pricing structures, so check the rates for your specific date before booking. 

What does a delegate package include?

A day delegate rate usually combines room hire and catering, while a standard hire fee may cover only the room.

For example:

• Boardroom at The Mackintosh Tearooms – £37 per person, including room hire, buffet lunch, two servings of tea and coffee, water and stationery. The same room hires for £250 per day without catering.
• Wallace at Glasgow Training Rooms – £234 day hire, with catering priced separately: £14 per person for a sandwich buffet served in the room, or £4.80 per person for unlimited tea, coffee and biscuits across a half day.

What size meeting room do you need?

Start with the layout you need, not the maximum capacity. A room that works for 40 people theatre-style may accommodate far fewer around a boardroom table or in a U-shape.

The AV Theatre at The Mackintosh Tearooms is a good example:

So a 20-person workshop requiring a U-shaped layout would not fit, despite the room's maximum capacity of 40.

The same pattern appears elsewhere. Meeting Room 1 at The Social Hub ranges from 60 theatre-style down to 24 in boardroom or U-shape, while the Mini Boardroom at Seven Buchanan Street lists 18 standing but seats 8 in boardroom layout.

Which part of Glasgow should you book in?

Most of Glasgow's meeting-room supply is concentrated in the city centre. Of the 35 rooms checked for this guide, 29 are within 900 m of Glasgow Central Station in a straight line.

City-centre rooms are convenient for guests arriving by train but are less likely to include parking. If several attendees are driving, it is worth looking beyond the immediate centre.

Which type of venue suits your meeting?

Different venue types suit different meeting formats:

For short bookings, coworking spaces and serviced offices are a good starting point. Hotels suit full days and later finishes, while training and conference centres are useful when you need breakout space or flexible layouts. What AV and hybrid facilities should you check?

A screen and Wi-Fi do not necessarily make a room suitable for a hybrid meeting. If remote attendees are joining, check the camera, microphone and conferencing setup separately.

Every room lists Wi-Fi, but fewer than half list conference call facilities. A flatscreen TV may be enough to display a presentation, but it does not guarantee that a camera or room microphone is provided.

For example, the Boardroom at Seven Buchanan Street lists a projector, screen, whiteboard and conference call facilities, though its own package notes describe the webcam and conference phone as available on request rather than set up by default. The Glenlee Suite at Wizu Workspace lists Wi-Fi, a screen, whiteboard and flipchart, but no projector or conference call facilities. The Lighthouse Suite at Novotel Glasgow Centre lists conference call facilities alongside a projector and PA system.

Before booking a hybrid meeting, confirm the camera, room microphone, laptop connection and whether technical support is available on site.

How private is the meeting room?

Most of the Glasgow meeting rooms checked are private spaces, but private does not necessarily mean soundproof. Of the 35 rooms verified, 33 are listed as a private space within a venue, none specifically listed soundproofing, and only 11 listed a dedicated quiet space.

For interviews, HR conversations, board meetings or legal and financial discussions, check:

• Whether the room is fully enclosed rather than partitioned 

• Whether it has glass walls, and if blinds are available

• Whether there is a reception or waiting area so arrivals are not visible to the room

• Whether the space is exclusively yours for the booking

Most Glasgow meeting rooms offer in-house catering, and most do not let you bring your own. 

If you want to use a particular caterer, check the venue's policy before booking. Only 7 of the 35 rooms checked allow external catering, while 10 restrict catering to approved suppliers. Wallace at Glasgow Training Rooms is one of the few that allows external catering and lists kitchen facilities for guests.

Tea and coffee are not always included either. Only 11 of the 35 rooms list them as complimentary. Glasgow Training Rooms, for example, charges around £4.80 per person for unlimited tea, coffee and biscuits over a half day.

For dietary requirements, check the individual menu.  Xenia Philosophy lists halal, kosher, vegan and gluten-free menus together, and iCafe Merchant City lists halal, vegan and vegetarian options with catering served to the room. Where alcohol matters for an evening session, The Mackintosh Tearooms holds a licence until 23:00 and The Social Hub until midnight.

How will people get there – transport and parking?

Most Glasgow meeting rooms are within easy reach of Glasgow Central or Queen Street, while on-site parking is less common.

If attendees are arriving via Queen Street, the closest options can differ from those nearest Central. For example, 39 SVP on St Vincent Place is 186 m from Queen Street and 296 m from Central.

On-site parking is less common in the city centre. Verified options include:

Hourly bookings: Many rooms quote hourly rates, but a two-hour minimum is common among those that specify a minimum booking period. Glasgow Training Rooms requires five hours, so check the minimum rather than assuming an hourly rate means you can book for one hour.

Weekends: 19 of the 35 rooms checked list weekend availability. Hotels, cafés and historic venues provide more options than many coworking and serviced-office spaces. iCafe Merchant City, for example, opens from 9:00 to 21:00 on Saturdays and Sundays at the same £18 hourly rate as weekdays.

Evenings: Only 5 of the 35 rooms checked list availability after 18:00. Options include Mal 2 at Malmaison Glasgow until 23:30 and the Lighthouse Suite at Novotel Glasgow Centre until 21:00. If your meeting will run into the evening, hotels and cafés are a good place to start. 

Is the meeting room accessible?

Accessibility varies by venue, so check the features of the individual room.

Where accessibility is important for your group, confirm the entrance, lift access, toilets and route to the room directly with the venue before booking.
