Host rules
To ensure a safe and respectful experience for all guests and staff, please observe the following rules when using our spaces:
Timing & Operations
- Bar and music must end by 11:30pm on Fridays and Saturdays and by 11:00pm on all other days.
- All events must adhere to agreed start and end times.
Site Restrictions
- No dogs or other animals are permitted on site, except guide dogs accompanying disabled guests.
- No helium balloons, smoke machines or bubble machines are allowed.
- No smoking inside any building. Designated outdoor smoking areas are available.
- Candles are not permitted in the Great Hall, Lower Hall, Old Library or Edward Alleyn Theatre.
Fixtures, Fittings & Setup
- Nothing may be driven into or affixed to College fixtures or fittings — this includes nails, screws, tape, adhesives or powders.
- Hirers must not obstruct corridors, staircases, exits or emergency doors.
- Emergency lighting must not be tampered with or covered.
- All decorations and equipment must be approved in advance and comply with safety regulations.
Cleanliness & Conduct
- The space must be kept clean, tidy, and undamaged throughout the hire period and returned in the same condition.
- Hirers must ensure respectful behaviour from all guests, contractors and suppliers toward College staff and property.
- No illegal substances may be brought onto the premises.
Catering
- Only approved external caterers may be used.
- Food and drink are not permitted on sports pitches or pitch surrounds without prior consent.
Safety & Compliance
- Hirers are responsible for fire and security procedures unless using in-house catering.
- All events must comply with health and safety regulations, including any requirements from police or fire authorities.
- Hirers must follow the instructions of the College’s duty manager or supervisor during the event.

The Laboratory is a versatile venue for conferences, AGMs, receptions, dinners, and more. It features two main event spaces — the 240-seat Auditorium and the striking James Caird Hall, plus four modern Informatic Suites for breakout sessions.
James Caird Hall, named after Shackleton’s legendary boat, has two bright floors and offers a setting for receptions with views of the College lawns. The Auditorium provides a space for presentations, panels, and performances, with removable seating and access to a scenic outdoor piazza.
