Access Time
Set up and pack down of the space needs to be within the time booked. Any bookings that require access to and use of the facility outside of these times must be agreed prior to booking confirmation with the Venue Hire Manager and may incur additional charges.

Bookings & Confirmation
Your booking is confirmed on receipt of the signed contract AND non refundable deposit OR the full amount relating to the hire. Space will not be held if payment of the deposit is not received. The deposit is non-refundable. Full payment is required at least 7 days before the date of the booking or immediately if the booking falls within this period. An invoice will be emailed to you if requested. Any additional charges (e.g. for extended hours, additional cleaning etc.) will be invoiced for payment post event.

Catering
Consumption of food in any venue is at the risk of the hirer as additional cleaning fees may apply. Use of external commercial caterers is at the discretion of ESSENCE Management and must be coordinated with the venue hire team.

Smoking
We are a non smoking hotel. Guests will need to depart hotel to smoke off premises.

Damages
The hirer remains responsible for any loss or damages caused by them or any of their guests, invitees or other people attending the event. The hirer will be liable for the cost of any damages incurred as a result of their booking, including any relevant fees associated with emergency services attending any avoidable alarms (as determined by the emergency service provider) with costs charged to the hirer on a final invoice.
