Garden Party Venues Hire Guide

Is there any better way to enjoy the English summer than with a gorgeous outdoor celebration? The warm weather coupled with good food, drink and friends in gardens of all shapes and sizes is a great experience for kids, adults, and families alike. Whether you’re planning a birthday celebration, a classic afternoon party or a team-building activity, there are some things to consider when browsing private gardens for hire in London:

Your budget. To provide for a great party not only for your guests but also for yourself, make sure the venue you’re hiring and everything that you’re planning for your event fits within your budget. Some venues offer special package deals or operate on a minimum-spend basis, so you’re sure to find just what you need for your event.

Menu options. A garden party goes hand in hand with fresh fruit, refreshing drinks, and light snacks. Before you hire your venue, check what food options are available for your event. Make sure it can be adjusted to fit your guests’ dietary needs. If the venue doesn’t offer in-house catering and you need to hire an external provider, ask the venue manager whether they have any preferred suppliers that they work with regularly which can give you a discount for your event.

Ease of accessibility. As beautiful and enchanting as the garden you chose may be, remember about the people you’re inviting. Are there any elderly guests or ones with disabilities? Or maybe parents with strollers? Walking on uneven ground or accessing a rooftop garden may come as an obstacle too big for them to attend your party. So before you make your final booking check what is the access to the venue.

Time of the event. With the always-too-short English summers you want to make the most of the heat and sun, but scheduling your event during the hottest part of the day may not be the best idea. Try to set it up when the sun won’t be so strong to your guests. If you can’t move the event, provide shade, and cold, refreshing drinks for your guests to cool down with.

Lighting. Light is key for when you plan your event to carry on into the evening. You want a “laid back party” atmosphere, not a “survival in the jungle” one (unless that’s what you’re going for!). See if you can add paper lanterns, or fairy string lights to elevate the atmosphere of the party as well as add the extra light.

What is included in the hire of the venue. Check what furniture or other garden party rentals, like linen or umbrellas, are included in the venue hire. If you’re planning on playing music during your event check the venue’s policy on that as well, and what equipment is available for you to use. If the venue doesn’t provide any of the things mentioned make sure you can bring your own.

Back up plan for rain. Planning an event ahead of time has one disadvantage: you can’t schedule the weather. So prepare a backup for what you’re going to do in case it rains on the day of your garden party. Ask the venue whether they will have space for you to move in or if they can provide umbrellas to hide under them.

The type of event. Depending on the kind of event you’re holding, you will look for different types of venues. A wedding would usually require a larger space and perhaps a dancing area. For a kids’ birthday party you would look for a family-friendly spot. A corporate party place should probably have a bar area as well. With Tagvenue’s smart search engine, finding the right venue for your event should not be a problem, but if you’re still struggling to find your perfect one look at some of our suggestions:

Kid-Friendly Garden Parties

Organising a kid-friendly garden party in London offers a fantastic way to celebrate, whether it's a birthday, a family gathering, or just an excuse to enjoy the outdoors. Here are essential tips and ideas to ensure your fresh air party is a hit with the younger guests while keeping stress levels for the adults to a minimum.

  • Choosing the Right Venue: Start with a venue that's not just beautiful, but also safe and secure for children. Fenced or enclosed gardens are ideal to ensure kids can roam freely without the risk of wandering off. Look for venues with a natural shade from trees or structures to protect little ones from the sun. Additionally, check if the venue has on-site facilities such as toilets and baby changing areas to accommodate young families.
  • Entertainment That Engages: The key to a successful kid-friendly outdoor party is engaging entertainment. Consider hiring entertainers such as magicians, puppeteers, or face painters who can captivate children's attention. Setting up a craft station where kids can make their garden-themed crafts or a 'mini-beast' hunt around the venue can also be delightful.
  • Kid-Proof Your Decor: When planning your decor, think durable and safe. Balloons, bunting, and paper decorations add a festive touch without posing much of a risk to energetic children. Avoid fragile items or decorations with small parts that could become choking hazards. Creating a themed party, such as a jungle or fairy garden, can make the decor more exciting and immersive for kids.
  • Menu for Little Munchers: Catering to young taste buds doesn't have to be complicated. Offer a range of finger foods, fruit skewers, and sandwiches cut into fun shapes. Keep in mind any dietary restrictions and allergies. For a special treat, consider a DIY ice cream or sundae station where kids can choose their toppings. Ensure there are plenty of drinks to keep them hydrated throughout the party.
  • Comfort for Adults: While the focus is on making the party enjoyable for kids, don't forget about the adults. Ensure there's comfortable seating where parents can relax and socialise while keeping an eye on their little ones. Offering a separate menu for adults can also make the party more enjoyable for them.
  • Safety Measures: Safety is paramount. Make sure the garden is clear of any potential hazards, such as ponds or broken fencing. Having a first aid kit on hand and designating a specific adult as the go-to for any bumps or scrapes can provide peace of mind.
  • Party Favours: Send the little guests home with garden-themed party favours such as seed packets they can plant or small potted plants. Not only does this provide a memorable end to the party, but it also encourages a love for gardening and nature.
  • Plan for the Weather: London's weather can be unpredictable, so have a backup plan in case of rain. Check if your chosen venue has an indoor kids party space or consider renting a marquee or gazebo to provide shelter without sacrificing the outdoor experience.

With the right planning, your outdoor party can be a delightful outdoor adventure that children and their parents will remember fondly. If you’re planning a birthday party for the young one, be sure to check out 27 Kids Birthday Party Ideas Your Kiddo Will Love!

Creative Lighting Solutions for Evening Events

Creating the perfect vibe for an evening garden party in London involves more than just the right venue and company. The lighting plays a pivotal role in setting the mood and transforming the space into a magical environment. As dusk falls, creative lighting solutions can turn any outdoor venue into a dazzling setting for your event. Here are some innovative ideas to make your evening garden party in London shine bright:

  • Fairy Lights and String Lights: There's something undeniably enchanting about fairy lights gently swaying in the breeze. Wrap them around trees, drape them over bushes, or hang them in canopies to create a canopy of stars. For a more structured look, string lights can outline pathways, frame the party area, or highlight garden features.
  • LED Furniture: Incorporate LED furniture to add a modern twist to your garden party. LED tables, chairs, and even bars can glow in a variety of colours, offering both functionality and an element of futuristic decor. This is especially effective for themed parties or to simply add a pop of colour to the evening.
  • Lanterns: Both paper and metal lanterns can add warmth and sophistication to your event. Cluster them together for a dramatic effect or hang them from tree branches for a whimsical look. For a safer alternative to traditional candles, use LED candles inside the lanterns.
  • Projection Lighting: Use projection lighting to add dynamic visuals to your party. Project patterns, foliage designs, or even custom images onto walls, floors, or the side of the building. This is a great way to add a personal touch or reinforce the theme of your event.
  • Glow in the Dark Elements: Add a playful element to your party with glow-in-the-dark accessories. From glowing garden balls to luminous pebbles lining the paths, these elements can guide guests and add an unexpected twist to the décor.
  • Spotlights and Uplighting: Use spotlights to highlight the natural beauty of the architectural features of the venue. Uplighting trees or sculptures can create dramatic silhouettes and transform the space with just the flick of a switch.
  • Candlelit Centrepieces: For a more traditional approach, nothing beats the classic beauty of candlelit centrepieces. Use hurricane lanterns or glass jars to protect the flames and combine them with floral arrangements for a romantic table setting.
  • Interactive Lighting: Incorporate interactive lighting elements that respond to music or movement. This can add an element of surprise and engagement for guests, making your garden party a memorable experience.

When planning your lighting, consider the overall theme of your fresh air party and the natural features of your chosen venue. The goal is to enhance the beauty of the garden, not overpower it. Safety should also be a top priority; ensure all electrical installations are done professionally and safely, and pathways are well-lit to prevent accidents.
